Legal
Privacy policy.
A plain account of what Zaavish Tech collects, why, and who it is shared with.
Effective 4 July 2026
Scope of this policy
This policy covers information handled by Zaavish Tech, a technology studio run by Uzair Arain, across three contexts: visitors to zaavish.tech, prospective and current clients who contact us (including over WhatsApp), and the automation systems — WhatsApp bots, N8N workflows, AI integrations — we build and operate on behalf of clients.
Where we build a bot or automation for a client and it processes that client's own customers' data, the client is the data controller for that information and should maintain their own privacy notice. This policy describes Zaavish Tech's own practices as a business and as a processor.
Information we collect
We collect information directly from you, and automatically through the tools we use to run the business.
Directly from you
- Name, business name, email, and phone number, when submitted via our contact form or shared over WhatsApp.
- Project details — the problem you're hiring us to solve, existing systems, and any files or credentials you choose to share for a project.
- Message content and voice notes sent to our WhatsApp number, where relevant to answering your enquiry or managing an active project.
Automatically
- Basic technical information from your device when you visit zaavish.tech (browser type, general location inferred from IP, pages viewed) via standard web server logs.
- We do not use advertising trackers or third-party analytics cookies on this website.
How we use information
We use the information above to:
- Respond to enquiries and quote, scope, and deliver projects.
- Maintain client and project records — service, pricing, order status, and payment history — in our internal systems.
- Operate WhatsApp-based support for clients who use our automation services.
- Send project updates, invoices, and payment reminders related to work you've engaged us for.
- Improve our own services, based on patterns in the problems clients bring to us.
We do not sell personal information, and we do not use client data to train third-party AI models beyond the processing described in this policy.
WhatsApp & messaging data
WhatsApp automation is core to what we build, so we're specific about how it works:
- Our WhatsApp number runs on Meta's official WhatsApp Business Platform (Cloud API) — not a browser-based or unofficial client. Messages sent to us pass through Meta's infrastructure under Meta's own WhatsApp Business terms and privacy practices, in addition to ours.
- Voice notes we receive are transcribed to text using an AI model, solely to understand and respond to your message. Audio files are deleted after transcription; they are not retained.
- Conversation history is kept only long enough to maintain context within an active conversation, and is not used for purposes beyond responding to you and, where applicable, keeping our own project records.
- Under WhatsApp's messaging rules, we can only reply freely within 24 hours of your last message; anything outside that window uses a pre-approved message template, never unsolicited marketing.
Third parties we work with
We rely on a small set of established providers to run the business. We don't share information beyond what's needed for them to provide their service to us:
| Provider | Purpose |
|---|---|
| Meta (WhatsApp Business Platform) | Sending and receiving WhatsApp messages |
| Google (Workspace / Sheets, Gemini API) | Internal client, order, and payment records; AI-assisted responses |
| Railway / hosting infrastructure | Running our automation and web systems |
Each of these providers processes data under their own security and privacy terms, which we've reviewed as part of choosing them.
Data retention
We keep client and project records for as long as needed to deliver the engagement, support billing, and meet reasonable business record-keeping needs afterward. Enquiries that don't turn into a project are kept only briefly, then removed. You can ask us to delete your information at any time — see Section 8.
Security
We restrict access to client data to the people directly working on your project, use access-controlled cloud accounts rather than shared logins, and avoid storing sensitive credentials in places outside their intended systems. No method of transmission or storage is perfectly secure, but we treat client data with the same care we'd want for our own.
Your rights & choices
You can, at any time:
- Ask what information we hold about you.
- Ask us to correct inaccurate information.
- Ask us to delete your information, subject to reasonable business and legal record-keeping needs.
- Opt out of non-essential WhatsApp or email communication — project-critical updates will still be sent for active engagements.
Reach out using the contact details below and we'll act on it directly — no ticket system, no runaround.
Children's privacy
Zaavish Tech's services are intended for businesses and individuals capable of entering a commercial agreement. We don't knowingly collect information from children, and our services aren't directed at them.
Changes to this policy
If our practices change meaningfully, we'll update this page and revise the effective date at the top. For significant changes affecting active clients, we'll reach out directly rather than relying on you to notice a page update.
